This notice explains what personal information The Civil Service Coach collects, why, and what your rights are.
Who is responsible for your data
The Civil Service Coach is the trading name of Daniel N., a sole trader, who is the data controller for this information. Address: 27 Alexandra Road, Hull, HU5 2NS, United Kingdom. Email: info@thecivilservicecoach.com.
What I collect
- Your name and email address, and a phone number only if you choose to give one
- Documents you send me, such as your CV, personal statements, behaviour answers and job adverts
- Information about your career, experience and goals that you share in forms and sessions
- Booking details from Cal.com, and order and payment confirmation from Stripe (I never see or store your card details)
- For downloads: when each file is downloaded, plus a shortened version of your IP address and your country, so I can stop download links being shared
- If you join the mailing list: your first name, email address and your consent to receive emails
- Messages you send me through the contact form, email or Telegram
Why I use it
- To deliver the services and downloads you've bought, which is the contract between us
- To contact you about your booking, order or service
- To protect my downloads from being shared, which is my legitimate interest
- To send occasional updates and offers, only if you've opted in; you can unsubscribe at any time
- To keep business and tax records, which the law requires
Who I share it with
I never sell your data. I share it only with the services I need to run the business, each of which protects it under its own privacy terms:
- Stripe (payments, and Klarna if you choose to pay in instalments)
- Cal.com (bookings)
- Google (Meet, Calendar and Gmail, for video calls, scheduling and email)
- Tally (forms and document uploads)
- Brevo (order emails and the mailing list)
- Cloudflare (this website, downloads and email forwarding)
Some of these services store data outside the UK, under safeguards approved for international transfers.
How long I keep it
- Documents you send me, session notes and any session recordings: deleted 30 days after your service is complete
- Order, payment and download records: kept for 6 years, for tax purposes
- Mailing list details: kept until you unsubscribe
Recordings
Sessions are only recorded if you buy the recording add-on or agree beforehand. Recordings are shared only with you and deleted 30 days after the session.
Cookies and browser storage
This website doesn't use advertising or tracking cookies. It stores your basket in your own browser so it's still there when you come back. The embedded contact and mailing list forms are provided by Tally and Brevo, which may set cookies needed for those forms to work.
Your rights
You can ask to see the information I hold about you, ask me to correct or delete it, or object to how I use it. Email info@thecivilservicecoach.com. If you're unhappy with how I've handled your data, you can complain to the Information Commissioner's Office (ico.org.uk).
